1. Introduction
CoachOS ("we", "our", "us") is a product of GloberixAI. This Privacy Policy explains what personal data we collect, why we collect it, how we use it, and what rights you have over it.
By using CoachOS, you agree to the practices described in this policy. If you do not agree, please discontinue use of the service.
2. What data we collect
When you create an account, we collect your name, email address, institute name, and password (stored as a one-way hash). We also log your IP address and browser/device information for security purposes.
When you add students, batches, staff, or fee records, that data is stored on your behalf as part of the service. We treat all institute data as yours — not ours.
We collect usage analytics (page views, feature usage, error logs) to improve the product. This data is never sold or shared with advertisers.
If you connect WhatsApp Business, we process message content solely to deliver messages you explicitly trigger from the CoachOS dashboard.
3. How we use your data
We use your data to provide, maintain, and improve CoachOS. This includes sending transactional emails (receipts, password resets), processing WhatsApp messages on your instruction, and generating analytics dashboards within your account.
We may use anonymised, aggregated usage data to understand product trends. This data cannot identify you or your institute.
We do not use your data for advertising, do not sell it to third parties, and do not allow access to it for any purpose outside of service delivery and legal compliance.
4. Who can see your data
Within your institute, only staff members you explicitly grant access to can see student, attendance, and fee data. You control all role permissions.
CoachOS staff do not access your institute data except in two cases: when you request technical support and grant temporary access, or when required by a valid legal order.
Our infrastructure is hosted on Supabase and Vercel. Both providers operate under strict data processing agreements and are compliant with international data protection standards.
5. Data retention
Your data is retained for as long as your account is active. If you cancel your subscription, your data is kept for 90 days after cancellation so you can export it. After 90 days, it is permanently and irreversibly deleted from our servers.
You can export all your data — students, attendance, fees, and results — as Excel files at any time from within the platform, at no extra cost.
6. Your rights
You have the right to access, correct, export, or delete your personal data at any time. To exercise these rights, email hello@coachos.in with "Data request" in the subject line.
We are GDPR-aware and respect the data rights of users in the European Economic Area. For Indian users, we comply with applicable provisions of the Information Technology Act, 2000 and its rules.
Requests are processed within 3 business days. Account deletion requests are fulfilled within 7 business days, after which data removal from backups occurs within our 90-day backup rotation cycle.
8. Children and minors
CoachOS is designed for use by institute administrators and staff — adults. Student data (which may include minors) is entered and managed solely by the institute. We process this data under the authority and instruction of the institute admin, who is responsible for obtaining any necessary consents from students or their guardians under applicable law.
9. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we'll update the "Last updated" date at the top and notify active subscribers by email if changes are material. Continued use of CoachOS after changes constitutes acceptance.
